Box Tops, Campbell Soup Coordinator

Coordinator Responsibilities:

  • Advertises via Bach School News and/or backpack flyers benefits of Box Tops and Campbell Soup Label collection and how families may participate (children put box tops and labels into their classroom collection box)
  • Twice a year, picks up Box Tops and Labels from collection boxes, sorts and groups, mails them to General Mills and Campbell
  • School receives check directly

Event Food Coordinator

Family Science Night Committee

Coordinator Responsibilities:

  • Reserves the date with Hands-On Museum and chooses program for that year
  • Advertises the event, including submitting newsletter article, posting signs, making and distributing flyers for all students and teachers, and coordinating translations of flyers for all languages at Bach
  • Draws on Bach families for volunteers for the event, and calls on community volunteer groups (such as Pioneer High School's Trailblazers, Pioneer's community volunteer club [CVC], YMCA's volunteer corp)
  • Arrives at 4 pm on night of event to help Hands-On Museum staff set up, oversees volunteers during the event, and stays to clean up
  • Passes invoice to Treasurer


Volunteers Needed:
40 volunteers, each demonstrating one experiment. Brief training session is provided by the Hands-On Museum

Volunteer Time Frame:
1.5 hours (either 5:30 - 7pm or 7pm - 8:30pm shift). Friday, November 13th, 2009.


Fundraiser Coordinator

Hospitality Committee

Coordinator Responsibilities:
Organizes and oversees First Day Coffee, Parent Involvement Day Breakfast and lunch RSVP, and Teacher Appreciation Breakfast.

First Day Coffee: Arranges to set up room before first day of school and purchases continental breakfast food. Oversees setup (for 8:45am starting time) and cleanup (event ends at 9:30am)
Parent Involvement Day: Purchases continental breakfast food for about 200. Oversees breakfast setup (usually the day before) and cleanup. Reviews lunch RSVPs and identifies families who have not responded. Works with Room Parent Coordinator to invite non-respondents and notes lunch RSVPs
Teacher Appreciation Breakfast:Sends teachers invitations to the event (held in Spring). Works with Room Parent Coordinator to solicit hot and cold food donations for this sit down function; rents china and glassware and oversees setup and cleanup


Volunteers needed:

Teacher Appreciation Breakfast: Hot and cold food donations needed; each grade is asked to bring in a different type of breakfast item. Volunteers needed to clean up.

Ice Cream Social Committee

Coordinator Responsibilities:

  • Advertises the event, including submitting newsletter article, posting signs, making flyers for all students and teachers, and coordinating translations of flyers for all languages at Bach
  • Contracts all vendors (jumpy houses, large games, DJ, cotton candy machines, face-painters, pizza vendor, ice cream vendor, etc.)
  • Works with Room Parent Coordinator to secure about 75 volunteers to run the event
  • Oversees event with the help of volunteers assigned to games, tickets, food, entertainment, etc.
  • Works with custodians for electrical, water, and trash pick-ups
  • Assures all vendors are paid


Volunteers Needed:
About 75 volunteers to set up, sell tickets, work game and activity stations, serve at ice cream and pizza tables, and take down and clean up the event.

Heritage Festival/BrrrFest Committee

  • Recruits and oversees volunteers for the events

Volunteers needed:
Heritage Festival: Families needed to bring and serve ethnic dishes, set up and run both ethnic and non-ethnic booths, participate in the ethnic fashion show, and provide ethnic music or dance entertainment.
BrrrrFest: Cashiers needed to sell tickets. Others needed to run games and booths.

Lunchtime Enrichment Committee

Coordinator: Erika Asbury-Montagno (eramontagno@hotmail.com)

Coordinator Responsibilities:

  • Recruit and manage volunteers to lead activities once per week for 25 minutes during January inside recess
  • Handle student sign-up for each session offered


Volunteers Needed:
Inerested parents share their hobbies with a small group of 1st through 5th graders during inside recess. Activity ideas include: arts & crafts, codes and ciphers, drawing, knitting, science experiments, quiet reading, no-bake cooking, dance


Volunteer Time Frame:
Once per week January 4th - January 29th, 2010. Grades 2-4 recess is 11:25 - 11:49am and Grades 1 and 5 recess is 12:10 - 12:34pm


March is Reading Month/Book Fair Committee

Coordinator Responsibilities:

  • Advertises the events, including submitting newsletter article, posting signs, making flyers for all students and teachers, and coordinating translations of flyers for all languages at Bach
  • Organizes March is Reading Month activities
    • For Family Reading Night, recruits volunteers to read books in English and other languages, and arranges for snacks, drinks and art projects
    • Recruits and coordinates volunteers to tally reading minutes by classroom
  • Organizes Book Fair
    • Recruits and oversees volunteers to set up, pack up, and cashier for book fair week.
    • Nicola's Books supplies books, and sales benefit the media center

Volunteers needed:
Family Reading Night: Volunteers to read books in English and other languages to children and their families
Minute talliers: 1 volunteer needed for each classroom. Each week during MIRM, collect tally sheets from classroom, record and total minutes for each child, write totals in central binder in the library, and deliver prizes from library central repository to teacher for distribution
Book Fair: 3 to 4 volunteers for setup and pack up, and cashiers for day and evenings.

Movie Night Committee

  • Gives room layout to custodial staff
  • Arranges for concession snacks; gets cash boxes from treasurer; develops concession signs

  • Recruits and oversees volunteers

Volunteers Needed:

  • 1 volunteer to purchase concession food
  • 10-12 volunteers to set up, sign kids in, make popcorn, set up and sell concessions, take children to the bathroom, and clean up

Newsletter Committee

Creates bi-weekly Bach School News and school calendar.

  • Submits electronic copy to Principal for approval, who then sends it to the office (after possible additions) to print and distribute
  • Sends to webmaster to post on PTO web site
  • Recruits volunteers to help collate and staple the newsletter for distribution

PTOC Representative

Representative Responsibilities:

  • Represents Bach at PTO Council, the umbrella organization supporting PTOs throughout Ann Arbor Public Schools
  • Meets monthly with PTO Council and joins the PTO Council a Yahoo! e-mail group for discussion of topics of interest
  • Reports back to Bach PTO items of interest from PTOC meetings and e-mail group

Pancake Dinner Committee

Co-coordinators: Renee Bayer (reneebayer@hotmail.com) and Amy Rotche (amyrotche@comcast.net)

Coordinator Responsibilities:

  • Checks for available dates with Principal and PTO. Usually the same day as Kindergarten Round-up
  • Reserves date with pancake chefs and sends them a deposit if necessary
  • Advertises the event, including submitting newsletter article, posting signs, making flyers for all students and teachers, and coordinating translations of flyers for all languages at Bach
  • Plans menu for drinks and other items like apple sauce or sausage
  • Coordinates purchase of plates, utensils, napkins, table cloths and drinks (Gordon Food Service does not charge the schools sales tax on purchases.)
  • On the day of the event, water bottles with bleach water must be on hand for cleaning, the milk chilled, and all utensils clean
  • Files the request for a temporary food license and meets with the food license permit officer from Washtenaw County
  • Gets thank you checks for custodians


Volunteers needed:

  • 4 cashiers (1 hour shifts)
  • 2 volunteers to set up (1 hour shifts)
  • 1 volunteer to bring ice and milk, and make beverages
  • 2 volunteers to serve beverages (1 hour shifts)
  • 2 volunteers to clean up (1/2 hour shift)

Phone Directory Committee

Coordinator: Wendy Umbriac (wumbriac@gmail.com)

Coordinator Responsibilities:

  • Collects directory forms from school office and turns the data into a directory, due out by first week of November
  • Provides office worksheet to distribute to all families and students, to be returned to office by mid-September
  • Gathers class lists, Excel data from school database, 5th grade art, and room parent list
  • Formats directory; compares school database Excel data w/ worksheets and updates missing data
  • Submits electronic copy of directory to Room Parent Coordinator for e-mail distribution
  • Takes copy to printer, approves proofs
  • Provides paper copies to office, which distributes to families in back-pack mail


Volunteers Needed:
Help enter data from the directory forms according to specified format, (e.g. Avenue or Ave, 1st Street or First St.)

Volunteer Time Frame: September

Chair Comments: Only one person should format the directory. Print margins, field/column sizes, fonts available, etc. all can change the look of the directory


Picture, Yearbook Coordinator

Coordinator Responsibilities:
Take pictures at different school events to publish in the Yearbook. Works with the Bach office to organize the layouts.

Playground Beautification Committee

Coordinator: Kris Groh (groh.kris@gmail.com)

Coordinator Responsibilities:
Bach school grounds and flag circle beautification.

  • Organizes one (or more) fall and one (or more) spring playground beautification days
  • Advertises the events, including submitting newsletter article, posting signs, making flyers for all students and teachers, and coordinating translations of flyers for all languages at Bach
  • Directs volunteer work on designated day
  • Arranges for wood chip drop-off or purchases plants if needed

Volunteers Needed: Many people needed for weed cleanup, trimming, wood chip distribution, and/or planting. Bring shovels, tools, and gloves.

Volunteer Time Frame: Fall date is Sunday, September 20th from 10:30am - 12:30pm. Spring date yet to be set.


Room Parent Committee

Coordinator: George Formoso (georgeformoso@yahoo.com)

Coordinator Responsibilities:

  • Obtains room parent sign-up sheets from VP
  • Provides teachers who still need room parents a sign-up sheet for Curriculum Night
  • Compiles list of room parents and their contact information for the office and school directory
  • Provides room parents an electronic copy of Bach School Directory from Phone Directory Coordinator as soon as it is available
  • Notifies room parents via e-mail throughout the year of volunteer opportunities for school activities such as Walk-a-Thon, Movie Night, Science Night, March is Reading Month, and Ice Cream Social

Volunteers needed: 2 room parents needed for each class.

  • Assists teacher with organizing class parties and recruiting chaperones for field trips
  • Helps recruit volunteers for PTO events by e-mail or word-of-mouth at the Room Parent Coordinator's request
  • Takes part in call tree by notifying classroom parents in case of school unexpectedly closing early (emergency contact forms are provided to room parents by office).

SCRIP Coordinators

Coordinator Responsibilities:

  • Stocks SCRIP cards and/or instructions for Buschs, Kroger, Meijer, Arbor Farms, Target, Plum Market, Whole Foods, and a myriad of stores through Great Lakes SCRIP
  • Brings cards and materials to All-School picnic in September and other functions. Runs SCRIP table located inside the main Bach School entrance several mornings a week from 8:50 - 9:00am.
  • Delivers checks to the Treasurer and SCRIP cards and/or instructions to the parent

Spiritwear Coordinator

Coordinator Responsibilities:

  • Coordinates the order forms with Ascott
  • Sends order forms home in backpacks twice yearly
  • Picks up and reviews orders, separates checks from order forms
  • Gives order forms to Ascott and checks to Treasurer
  • Picks up order when complete and distributes to students
  • Orders some additional T-shirts, water bottles, etc. to sell at school events; items are sold at cost

Teacher Appreciation Dinner Committee

Coordinator: Becky Gracey (beckygracey@hotmail.com)

Coordinator Responsibilities:

  • Obtains sign-up sheets from VP and contacts those people who have volunteered to donate food
  • Recruits additional families to donate food if needed through Room Parent coordinator
  • Oversees volunteers for set-up and clean-up.

Volunteers needed:
This is the day our teachers are in conference with us, the parents. Give them a bite between conferences! Opportunities to help include food donations (dropped off the day of the dinner), setup (clean staff lounge, get out paper products, set out food-begins around 3:00) and cleanup (put leftovers in storage containers, wash serving dishes, utensils, and tables, and put paper products away-begins around 7:30pm)

Walk-a-thon Committee

Coordinator Responsibilities:

  • Advertises the event, including submitting newsletter article, posting signs, making and distributing sponsor envelopes and flyers for all students and teachers, and coordinating translations of flyers for all languages at Bach
  • Contacts sponsors to donate food and prizes
  • Sets up food at Saturday event
  • Recruits and oversees volunteers to count laps during the 4 noon hours and on Saturday for 4 hours
  • Totals lap counts for participants
  • Hands out prizes at assembly

Volunteers needed:


  • 12 total volunteers to count laps at noon time or on Saturday
  • 3 volunteers to raise money and donations for prizes and snacks
  • 1 volunteer to do computer work keeping track of lap tallies for prizes

Volunteer time frame: Saturday walk-a-thon is October 10th, 2009. Lunch walk-a-thon is October 6th - 9th, 2009.


Webmaster

Coordinator: Wendy Umbriac (wumbriac@gmail.com)

Coordinator Responsibilities:

  • Keeps PTO web site updated and maintains PTO announcement e-mail list
  • Coordinates with hosting provider and Domain name registrar
  • Maintains the leadership contact list, PTO calendar, event descriptions, volunteer opportunities, PTO meeting minutes, etc. on the PTO web site
  • Contacts event chairs after their events to verify position description and obtain any new or updated files
  • Adds new information and functionality when possible.
  • Loads new e-mail addresses from Bach School Directory to announce@bachpto.org e-mail list
  • Sends e-mail to the announce@bachpto.org list to notify people of upcoming PTO events and volunteer opportunities

Volunteers needed: Writers, graphic designers, and programmers are always welcome to assist

President

  • Provides general supervision and control over PTO meetings and PTO school sponsored events
  • Prepares and Posts the agenda for monthly meeting and Calendar of PTO events for the year

Vice President

Lea Monaghan (leainmichigan@gmail.com)

Duties:

  • Fills in when president is unable to perform his/her duties
  • Coordinates yearly election
  • Evaluates PTO events
  • Serves as bylaws coordinator

Tasks

  • Meets in August with president to draft PTO event calendar for next school year
  • Coordinates with President to draft agendas and send parents notices of monthly PTO meetings. Responsible for refreshments
  • Co-hosts with president a picnic followed by a PTO meeting the first week of school. Each family brings own picnic dinner; VP brings desserts
  • Brings signup sheets for volunteers to picnic (e.g., room parents, library helpers, ice cream social, movie night)
  • With President, recruits coordinators for PTO events. Provides copies of volunteer sign-up sheets to each event coordinator and provides the room parent sheets to the Room Parent Coordinator
  • Consults/cooperates with Principal on miscellaneous school needs. Works with Room Parent Coordinator to recruit volunteers (e.g. MEAP snacks)

Secretary

Becky Gracey (beckygracey@hotmail.com)

Duties:

  • Keeps records of all official PTO meetings
  • Custodian of all past records of PTO
  • Responsible for all correspondence of Board and of PTO in general
  • Keeps minutes of each PTO meeting and distributes them prior to or at next meeting

Tasks:

  • Types minutes of PTO meetings
  • E-mails minutes to Board members and Principal. Gets a hardcopy to members without e-mail (by PTO mailbox, delivery to child's classroom, or delivery in person)
  • Upon Principal's approval, e-mails minutes to Newsletter Coordinator to be put into next newsletter, and to webmaster to be posted on PTO web site
  • Posts minutes on PTO bulletin board
  • Provides paper copies for members at each PTO meeting; reads previous minutes if requested
  • Attends all PTO Executive Board meetings

Treasurer

Duties:

  • Keeps a financial record of all transactions; reports quarterly
  • Establishes the initial PTO/School Year budget based on review of historical data and presents it for approval by 2/3 majority vote during the October general PTO meeting
  • Files a tax report with the IRS each year.
  • Maintains all accounting of the Bach 5th Grade Account, kept independent from any transactions concerning the records of the Bach PTO Accounts
  • Writes checks for distribution of funds and receives deposits
